User Roles & Permissions

Careflow uses role-based access control. Each user is assigned a role when invited to a clinic workspace. Here's what each role can do:

Clinic Admin

Full platform access with administrative control over the entire clinic workspace.

  • Manage team members — invite, remove, and assign roles
  • Access all billing, invoicing, and revenue analytics
  • Configure clinic settings, integrations, and branding
  • View organization-level dashboards and benchmarks
  • Manage subscription plans and Stripe payment setup
  • Run data migrations and imports from other systems
  • Access security audits, QA dashboards, and system health
  • Full access to all clinical features (visits, SOAP notes, prescriptions)
  • Manage insurance claims and Paw & Fare financial tools
  • Configure AI Receptionist and automation settings

Veterinarian

Clinical access for veterinarians to manage patient care, prescriptions, and medical records.

  • Record visits and write SOAP notes with AI assistance
  • Use Voice SOAP — dictate notes hands-free during exams
  • Prescribe medications with safety checks and drug interaction alerts
  • Route prescriptions to pharmacies via email (Outlook/Gmail)
  • Access the Clinical Decision Engine and AI diagnostics
  • Manage cases, follow-ups, and treatment plans
